The problem
The paper attendance sheet has every flaw: it gets filled in from memory at break time, hours get rounded, it gets copied into a spreadsheet in the evening, and it is nowhere to be found the day you need it. For the team as for the children, the real hours get lost between two emergencies.
Yet those hours are precious: they justify the billing, the staffing ratios, the team's working time. Approximate attendance means disputes with families and contested hour counts.
How Kidola solves it
With Kidola, the setting's tablet becomes everyone's time clock: children come in through the porte verte (green door) and leave through the porte rouge (red door), the team clocks in with one tap using their personal PIN code, and parents can even badge themselves in at the entrance on a locked tablet.
The principle is simple and robust: if a clock-in exists, it takes precedence over the schedule; otherwise, the consolidated record falls back on the schedule. The real hours feed directly into attendance, billing and the team's counters, with no copying.
Step by step in the app
- 1
Activate clock-in in the settings
In Mon établissement (your setting's page), Paramètres, tick « Activer le pointage des Employés ». Take the opportunity to consider the « Garder l'heure planifiée lorsque l'employé pointe en avance » option.
- 2
Retrieve the administrator PIN code
It is in Mon établissement, first icon at the bottom: this PIN authorises the setting's tablets.
- 3
Set up the tablet
On the tablet, open kidola.app in the browser and add the app to the home screen. Then, in Menu, Employés, choose « Autoriser le pointage de l'appareil » and enter the administrator PIN. A single shared account is enough for the whole setting.
- 4
The team clocks in at the clock
Each employee clocks their arrivals, breaks and departures by tapping the little clock next to their first name, with their personal PIN.
- 5
Children go through the doors
Porte verte on arrival, porte rouge on final departure. To have parents badge in at the entrance, open Menu, Enfants, Pointage des tuteurs: they confirm with the child's date of birth, on a tablet locked with the padlock.
- 6
Correct things cleanly
Omissions can be fixed: Synthèse Employés then the pencil to edit an employee's Consolidé, the daily record and the ABS button for children, and the « fiche sans fin » list in the Tour de contrôle for forgotten departures.
Pitfalls to avoid
- An employee's consolidated record can no longer be edited after one month: past that point, adjust the Solde d'heures (hours balance) rather than the records.
- Someone always clocks in early? Activate « Garder l'heure planifiée »: early morning clock-ins will no longer inflate the counters (lateness, on the other hand, stays real).
- The tablet refuses to clock in: it is no longer authorised, re-enter the administrator PIN. A child invisible on the tablet usually has a future arrival date or a departure date on their profile.
- In Luxembourg, remember that the CSA/PGI time blocks round the billing: the to-the-minute clock-in serves as proof, the billing follows the blocks.
Frequently asked questions
Do I need one tablet per room?
No, an off-the-shelf tablet is enough to start with, with a single shared account: each employee has their personal PIN and children go through the green and red doors.
What happens if nobody clocks a child in?
The consolidated record falls back on the planned schedule. As soon as a clock-in exists, it takes precedence: the real always wins over the planned.
Can parents clock in themselves?
Yes: the « Pointage des tuteurs » view turns an entrance tablet into a badging kiosk, locked with the padlock, where the parent confirms with their child's date of birth.
